Purchasing Associate

Under the direction of the departmental manager, is responsible for the timely procurement of materials and supplies of required quality and at the best price advantage to the company.  May do general purchasing or purchase specific items of major importance.  Assists in the establishment of supply sources, negotiation of pricing, terms and delivery dates.  

Essential Functions (the items listed reflect management’s assignment of essential functions; it does not prescribe or restrict the tasks that may be assigned)

  1. Negotiates with vendors for goods and services, negotiating the best possible price and service guarantee.

  2. Adheres to established Purchasing Policies.

  3. Assists with the qualification of new supply sources.

  4. Places blanket purchase orders when appropriate and monitors cost during the time period.

  5. Checks requisitions for appropriate approval and account numbers.

  6. Works closely with the Shipping and Receiving Department to ensure the receipt of products.

  7. Traces delinquent arrivals from Purchase Orders.

  8. Follows environmental and safety regulations and acts in compliance with US laws.

  9. Complies with safety and corporate guidelines on business ethics. 

Education & Experience Requirements

  1. Knowledge of paper and other commodities that is acquired either through two-four years of post secondary education or an equivalent combination of education and experience in lieu of a degree. 

  2. Minimum of two years of relative purchasing experience.

Knowledge, Skills & Abilities

  1. Software knowledge; preferably in Technique or some other ERP system and Excel.

  2. Excellent interpersonal and communication skills.

  3. Ability to work independently with little or no instruction.

  4. Problem analysis and problem resolution abilities.

  5. Ability to analyze, interpret or make deductions from varying facts or circumstances.

  6. Ability to exercise discretion and judgment on a consistent basis. 

  7. Language skills: Ability to read, analyze and interpret various types of correspondence.  

  8. Ability to respond to inquiries or complaints from customers and employees. 

  9. Ability to effectively present information to customers and management.

  10. Mathematical skills: Ability to work with mathematical concepts such as percentages, ratios, and proportions to practical solutions.  Basic accounting and financial knowledge.  Ability to read dimensions with a scale and perform calculations of measurements in both fraction and decimal format.  Conversion of fractions to decimals and visa versa. 

  11. Reasoning ability: Ability to define problems, collect data, establish facts, and draw valid conclusions.

  12. Ability to ensure that tight deadlines are met.
